Setting up welcome messages

Why Welcome Messages Matter

A welcome message is the first impression new customers get of your business on WhatsApp. Responding instantly with a friendly greeting makes your business feel responsive and professional — and gives you the perfect moment to guide the conversation forward.

Set Up a Welcome Message

  1. 1

    Open the Welcome flow

In the Automations section, open "Welcome Message". This flow runs automatically the first time a new contact messages you.

  2. 2

    Write your message

Draft a friendly greeting that introduces your business and sets expectations, like typical response times or what the customer can ask about.

  3. 3

    Add the customer name

Insert the customer name variable so each greeting feels personal, instead of a generic template.

  4. 4

    Route or qualify

Add actions after the greeting to guide the customer, such as starting a qualification bot, pointing to common help, or simply letting a human take over.

  5. 5

    Activate and test

Toggle the flow on and send a test message from a second WhatsApp contact to confirm the welcome arrives exactly as expected.

Good Welcome Message Ideas

Clear and warm

"Hi name, thanks for reaching out to us! How can we help today?"

Set expectations

Mention typical response times so customers know when to expect a reply and don't worry about being ignored.

Point the way

Offer a few common options — sales, support, or a knowledge base — so customers get where they need faster.

Tip

Keep the welcome short and scannable. Long first messages feel overwhelming — aim to greet, set expectations, and hand the customer one clear next step.
